In an attempt to keep content up to date, CTS will at times retire a subject and replace it with a new version. When we retire a subject it goes through a process known as 'Superceding.' We will communicate a date for the superceding of a subject which will allow users currently in the subject, or who are about to take the subject, time to complete it before access is restricted. On the date provided, the subject will be appended "SUPERCEDED" and it will no longer be accessible by any user, nor can it be assigned. Attempting to assign or access the subject will produce an error.
While we attempt to avoid having to replace any subject, updates sometimes require that we replace a subject entirely. Information regarding a subject to be superceded will be provided by at least one of the following methods:
- Email - We email all
administrators in the training system the details pertaining to any
subject changes as soon as the changes are made publicly available
- Administrator Home Page (Displayed after administrative login) - We update the administrator
home page to display a short informative regarding the change
- Blog Post - We post on our blog regularly and include postings when new subjects are offered as well as when content material is updated
- Various Social Media Accounts - We also update our corporate social media accounts with links to our blog page as well as relevant third party articles
*NOTE: To ensure delivery of email messages from CTS please keep your administrator email address up to date, and white list '@ctsys.com' on your email systems
What do Administrators need to do About Superceded Subjects
When CTS publishes a new version of a
subject, we automatically make the subject available to accounts
currently licensing the old version. We then automatically assign the
new subject to all users who currently are assigned the old subject and
make sure they are assigned the same base month. Additionally, we alter
any existing templates, removing the old versions of a subject and
replacing it with the new. It is our goal to reduce the work required by
the administrator when we push a subject into the superceding process.
The only part of the superceding process that CTS cannot complete is removing the old, superceded subject. Once CTS notifies administrators of the superceding of a subject, the administrator will need to complete the following steps:
- Records for the old subject should be
verified or created for any user assigned the subject; this includes
printing and/or saving a digital copy
- The old version of the subject should be removed (de-assigned) from the user once the records are saved (when subjects are de-assigned all records pertaining to that subject are removed from the system and are unrecoverable)
- The
administrator then needs to reach out to CTS to verify all users are
de-assigned the old subject; Support will then verify and remove the old
subject from the account
