What Does it Mean When a Subject Shows as 'Grace' or 'Expired?'

One of the most common questions that new CTS users have, is in relation to a subjects displayed 'Status.' New users may not be familiar with the various statuses that are displayed. CTS displays the status of each individual sections module to help users understand where they are at in their training cycle.

After logging into the training site and opening a subject you are shown the status of each particular module in the displayed section. The tutorials, lessons and exam sections will show modules and each displays one of four statuses in the Date Taken column. These statuses relate to the assigned base month, current date as compared to the base month, and completion of the subject.  The statuses you will see are Currently Due, Grace, Expired, or a completion date (mm-dd-yyyy) We break down the meaning of each, as well as the base month below.

The base month is the month a subject is assigned on a per user/subject level basis. Account administrators determine the assigned base month and can also alter this if need be*. This assigned base month is what helps determines the 3 statuses of Currently Due, Grace, and Expired. This is based off of a 3 month training period; 1 month before the assigned month, 1 month during the assigned month, and 1 month after.

Subject Module Statuses:

Currently Due - This status indicates that the subject has cycled as due for either initial or recurrent training. This status is displayed during the month prior and during the assigned base month. As an example, a subject with a July base month shows this status from June 1st until July 31st. 

Grace - The grace period is the last month in the 3 month cycle of training. Subjects will show as in Grace during the month after the assigned base month. Using the prior example, this would mean the material would show in Grace through all of August.

Expired** - This status is an indicator that the module in question was not completed during the standard 3 month training period. Using July as the base month still, this status could be expected if the material was not completed during June through August.

A date indicating completion - Once a module has been completed according to the system, a date will be populated in place of the previous status. This date indicates when the module was last completed.

*NOTE: Before changing or altering a base month, administrators should always obtain records as this change may remove certain progress from the given subject.
**NOTE: No status will never prohibit access to training material; CTS allows access to any and all training material regardless of status.
